1. Event Setup on Atexpo.online
On the Atexpo.online platform, create a new event or select one from the list for editing. Enter the event name, select its language, start and end dates, and time zone. Check the box if the event is online-only. If your event is hybrid, you can add the physical address and dates here. The virtual event duration can differ from the physical one, with a maximum duration of online event of up to 90 days on the platform. After the event concludes, new visitor registrations will cease, but it will remain accessible to previously registered users for 30 days. You can modify all event information and settings at any time, except for the start and end times of the virtual event once it begins.
2. Information and Lobby Setup
On the "Information and Lobby" page, customize your event's personal landing page, called the Lobby. This will include event information, banners, and buttons for visitor and exhibitor registration. Upload the event logo and fill in the sections of the Lobby with information. You can add or edit additional information sections on the Lobby and change their order.
Choose a background for the Lobby and set the number of banners. Upload banners or use the platform's tools to take and crop photos. Preview your event's Lobby. To better sort visitors, create areas of interest for participants to select in their business cards or booths. Create virtual pavilions to help visitors sort virtual booths at the exhibition for better navigation. You can also add your assistants as administrators or moderators. After entering the key information, click "Continue event settings".
3. Conference Setup
On the "Conference" page, you can create the event's conference. If no conference is planned, click " Continue event settings." When setting up the conference, you can insert a link to a pre-recorded video on YouTube or a planned live stream or video premiere that will serve as the main conference video. Add conference information, banners, and additional videos if needed. If you create multiple conferences, they will be separated by tabs.
4. Exhibitors Setup
On the "Exhibitors" page, set the registration conditions for booth owners. If you choose the first option, you will register exhibitors yourself in your Event Panel, and the Lobby will only have one button for visitor registration.
If you choose the second option, the Lobby will have two buttons: one for visitor registration and one for exhibitors. This way, you can promote your event to attract both visitors and exhibitors. You can change the registration conditions for exhibitors and visitors at any time.
Next, specify the information you want to receive from exhibitors when they reserve a booth, if they will be registering on your event's Lobby.
5. Creating Exhibitor Booths
Here, you can create an exhibitor booth by entering the user's email. The user will receive an automated email about creating the booth and will be able to fill it with information independently in their Booth Panel. The exhibitor then sends you a request to validate their booth. These requests will be highlighted in red in your Event Panel. If you decide to approve the exhibitor for the exhibition, you can review and validate the booth. You can also cancel or renew the publication of the virtual booth at any time. The booth will become publicly viewable only after the exhibitor pays Atexpo.online platform for the booth on their Booth Panel or enters a promo code that you can provide. Each event comes with 5 free promo codes in your Event Panel.
6. Visitor Registration Setup
On the "Visitors" page, set the registration conditions for visitors. Choose an option based on whether you want to issue tickets for your event, allow email-based registration, or permit entry without registration. Only if you require visitor registration by email will the virtual business card and portfolio be accessible for visitors' convenience, and the visitor list will be visible in the Event and Booth panels.
Specify the fields visitors need to fill out during registration. You can also view and download the list of visitors with additional information on this page.
If you choose the ticket access option, the "Tickets" page will appear. Here, you can generate tickets for free and distribute them to visitors and exhibitors.
Publish the event on this page. After publishing, promote the link to your Lobby to attract visitors and exhibitors.
7. Promo Codes
On the "Promo Codes" page, you have 5 free promo codes that you can provide to exhibitors for booth publication. The event organizer can purchase additional promo codes. However, by default, exhibitors are responsible for paying for their booth publication on the platform.
8. Statistics and Promotion
On the "Statistics" page, monitor the visitor dynamics for the entire event and individual booths.
